Studio Booking Terms & Conditions
The Podcast Studio Milton Keynes
Last updated: 13 September 2026
These terms apply to every booking you make with The Podcast Studio Milton Keynes, whether it is a one-off session or a monthly plan. By ticking the box at checkout you confirm that you have read, understood and agree to be bound by these terms. If you do not agree, please do not complete your booking.
1. Who we are
1.1 “We”, “us” and “the Studio” means Podcast Media Ltd (company number 17368317), trading as The Podcast Studio Milton Keynes, of 15 Wharfside, Fenny Stratford, Bletchley, Milton Keynes MK2 2AZ.
1.2 “You” and “the Client” means the person or business making the booking. If you book on behalf of a business, you confirm that you have authority to bind that business to these terms.
1.3 You can contact us at team@thepodcaststudiomiltonkeynes.com or 07591 762102.
2. Your booking
2.1 Every booking is made through our website. The booking type you select (for example, a one-off session or a monthly plan) and the details shown at checkout — including the date and time, session length, number of sessions, number of attendees, services included, deliverables, price and any minimum term — form part of your contract with us and are referred to in these terms as your “Booking Details”.
2.2 Your booking is confirmed when we have received payment (or the first payment under a monthly plan) and sent you a confirmation email. Until then, no booking exists and dates are not held.
2.3 Only the services and deliverables listed in your Booking Details are included. Anything else — including extra recording time, extra episodes, extra editing, extra deliverables, extra revision rounds or faster turnaround — is an additional service and may carry an additional charge. Something is not included just because it was discussed informally or asked for during a session, unless we have confirmed it in writing.
2.4 Where your Booking Details specify a number of hours, episodes, clips, revision rounds or other items, we are only obliged to provide that number.
2.5 Where practicable we will tell you the cost of any additional service before we do the work. We are not obliged to provide an additional service until the work and the fee have been agreed.
3. One-off bookings
3.1 A one-off booking covers the session(s), services and deliverables shown in your Booking Details, on the date(s) shown.
3.2 The full price is payable at checkout unless your Booking Details state that a deposit is payable, in which case the balance is due by the date stated (and in any event before the session).
4. Monthly plans
4.1 A monthly plan gives you the number of sessions, services and deliverables shown in your Booking Details each month for the plan fee.
4.2 Rolling plans and minimum terms. Some plans are rolling monthly with no minimum commitment; others have a minimum term. Whether a minimum term applies, and how long it is, will be stated in the Booking Details for that plan at checkout. Where no minimum term is stated, the plan is rolling monthly.
4.3 Renewal and payment. Your plan renews automatically each month on your billing date and the plan fee is charged automatically to the payment method you used at checkout. By starting a plan you authorise us to take these recurring payments.
4.4 Using your sessions. Sessions must be booked and used within the month they relate to. Unused sessions do not roll over to the following month and are not refundable, unless your Booking Details say otherwise. Booking a session within a plan is subject to availability, and the cancellation and rescheduling rules in section 6 apply to each session.
4.5 Cancelling a rolling plan. You can cancel a rolling plan at any time by giving us written notice. Cancellation takes effect at the end of your current billing month; you will not be charged again after that and you can use any remaining sessions for that month in line with these terms. Fees already paid are not refunded.
4.6 Cancelling a plan with a minimum term. You can give notice to cancel at any time, but the plan will continue and fees remain payable until the end of the minimum term. Fees for the remainder of the minimum term are due when you cancel unless your Booking Details say otherwise. After the minimum term the plan becomes rolling and clause 4.5 applies.
4.7 Discounted packages. If your plan or package was priced at a discount and you cancel before it is completed, we may recalculate the sessions and services you have already received at our standard individual rates and set the amount you have paid against that figure. If you have paid more than the recalculated amount we will refund the difference (less any cancellation charges properly due); if less, you agree to pay the difference within 5 working days of our invoice.
4.8 Changes to plan pricing. We may change plan fees by giving you at least 30 days’ written notice. A change will not take effect during a minimum term. If you do not accept a change you may cancel under clause 4.5 before it takes effect.
5. Payment
5.1 All payments are made through our website. Prices are shown in pounds sterling and, where applicable, include VAT at the current rate.
5.2 Additional services will be invoiced separately and are payable within 5 working days of the invoice.
5.3 If any payment fails or is not made when due, we may, without liability to you: suspend or refuse to start or continue any session, editing or post-production work; withhold deliverables, including final edited files, until all overdue amounts are paid; and, if you remain in default, end your booking or plan under section 15.
5.4 We may charge interest on overdue amounts at the rate permitted by law, together with reasonable costs of recovery.
5.5 Suspension for late payment does not remove your obligation to pay any cancellation, rescheduling or other charges due under these terms.
6. Cancelling or rescheduling a session
This section applies to every booked session, whether one-off or part of a monthly plan. All notice periods are measured from the scheduled start time of the session.
6.1 More than 7 days before the session. You may cancel for a full refund of the amount paid for that session, or reschedule to another available date at no charge.
6.2 Between 7 days and 48 hours before the session. No refund is given. You may cancel for a credit equal to the amount paid for that session, or reschedule to another available date at no charge. Credit is held on your account and can be used against any future booking with us within [12] months of the cancellation date, after which it expires. Credit is not transferable and cannot be exchanged for cash.
6.3 Less than 48 hours before the session. We reserve the right to refuse any request to cancel or move a session. If we refuse, the session is treated as taken and no refund or credit is given. If we are able to accommodate a change at our discretion, we may charge a rescheduling fee.
6.4 How to cancel or reschedule. Requests must be made in writing to team@thepodcaststudiomiltonkeynes.com (or through your account on our website, where available). The time we receive your request determines which of the windows above applies.
6.5 Not turning up or arriving late. If you do not attend a session, it is treated as cancelled with less than 48 hours’ notice. If you or your guests arrive late, we will do what we can to make up time but are not obliged to run past the scheduled finish time, and no refund or credit is given for lost time.
6.6 Work already done. Any editing, production or other work we have already completed before a cancellation remains payable.
6.7 If we need to cancel or reschedule. If we have to cancel or move your session for reasons within our control, we will offer you an alternative date or a full refund for the affected session. We are not liable for any delay or failure caused by events outside our reasonable control, including serious equipment failure, power failure, fire, flood, extreme weather, industrial action, illness, or government restrictions; in those cases we will offer an alternative date or refund the amount paid for the affected session.
6.8 Your statutory rights. If you are booking as a consumer (not for business purposes), nothing in this section affects any statutory cancellation rights you may have, including under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Where you have asked us to provide services on a specific date, or to begin work before any statutory cancellation period ends, you acknowledge that you may lose the right to cancel or may be charged for services already provided.
7. Using the Studio
7.1 We will give you access to our studio, equipment and technical support for the date and time in your Booking Details. Unless stated otherwise, the booked time includes setup and technical support.
7.2 Please arrive in good time to start recording at your booked start time.
7.3 Any extra studio time you request, or that is needed because you or your guests run over, is subject to availability and chargeable at our current hourly rate.
7.4 You agree to use the studio and equipment responsibly and lawfully, to follow reasonable instructions from our staff, and to ensure your guests do the same. You are responsible for the conduct of your guests and contributors.
7.5 We may end a session without refund if you or a guest behaves in a way that is abusive, dangerous, unlawful or likely to damage the studio, our staff or our equipment.
8. Editing, delivery and approval
8.1 Where editing is included, you authorise us to edit, cut, shorten, rearrange, clean, enhance, correct and format your recordings within the agreed scope and any reasonable editorial guidelines you give us. We do not need your approval for each individual edit made within that scope.
8.2 Editing may change the length, order, presentation or context of parts of a recording. We will take reasonable care not to materially misrepresent what a contributor said.
8.3 You are entitled to the number of revision rounds shown in your Booking Details (one round if none is stated). Please send us one consolidated set of reasonable revision requests within 5 working days of receiving a draft. Further revisions may be charged at our hourly rate or an agreed fixed fee.
8.4 If you do not send comments or an objection within 5 working days of receiving a draft, the draft is deemed approved. Once a deliverable is approved (or deemed approved) we are not obliged to make further changes, and any further work may be charged separately.
8.5 To the extent permitted by law, you agree not to assert moral rights against edits we make under these terms.
8.6 We will use reasonable endeavours to deliver within the timeframe in your Booking Details. Delivery times may be extended where you delay providing instructions, approvals, source material, branding or other information we reasonably need.
9. Technical problems and loss of recordings
9.1 We take reasonable steps to keep our equipment working and to maintain backups where practicable, but recording involves technical risks, including equipment or software failure, power interruption, data corruption and accidental deletion.
9.2 If a recording is materially lost or unusable because of a technical failure on our part, our remedy to you will be, where practicable, a replacement session or a refund of the fee for the affected recording.
9.3 Once delivered, you are responsible for downloading and safely storing your files. We may keep copies for backup, administrative or dispute-resolution purposes but do not guarantee to keep raw recordings or project files for any particular period.
10. Ownership of content
10.1 Subject to payment in full, you own your original content and the recordings. We keep ownership of our pre-existing materials, production methods, templates, software, know-how and branding.
10.2 Third-party materials included in a recording remain subject to their owners’ rights.
10.3 We will not sell or commercially exploit your recordings without your permission. You grant us a non-exclusive right to use reasonable excerpts, stills, behind-the-scenes photos and short clips from your project on our website, portfolio and social media for promotional purposes. If you would prefer we did not, tell us in writing before your session.
11. Damage to equipment or property
11.1 You are responsible for damage to the studio or its equipment caused by you or your guests through misuse, negligence or deliberate acts, and may be charged the reasonable cost of repair or replacement. You are not responsible for ordinary wear and tear or for technical failures you did not cause.
12. Your responsibilities for your content
12.1 You are responsible for the content of your podcast and anything said or included in it by you or your guests, including statements, claims, music, images, advertising and sponsorship.
12.2 You confirm that you have, or will obtain, all rights, licences, permissions and consents needed to record and use your content; that your instructions and materials will not knowingly cause us to infringe anyone’s rights; and that you will comply with all laws relating to your content and its publication.
12.3 You are responsible for obtaining consent from every guest, contributor or other person appearing in a recording, and for making sure they understand that their voice, image, likeness and contribution may be recorded, edited, reproduced and published. If a guest objects to a recording or its use, you are responsible for resolving that and for any resulting costs or additional editing.
12.4 You agree to indemnify us against reasonable losses, liabilities, claims, damages, costs and expenses arising from any third-party claim relating to: content supplied or authorised by you; statements or conduct of you or your guests; your failure to obtain a required consent, release or licence; or an allegation that material you supplied or authorised infringes someone’s intellectual property, privacy or other rights. We will tell you promptly of any such claim and cooperate reasonably with you in responding to it.
12.5 We provide recording, production and editing services only. We are not responsible for the accuracy, legality or editorial substance of your content, and you are responsible for reviewing final deliverables before publication.
13. Confidentiality and data protection
13.1 Each of us will keep confidential any non-public commercial, personal or business information received from the other in connection with a booking. We will not publicly disclose unpublished recordings or your confidential information without your permission, except where required by law. We may keep copies where reasonably necessary for backup, accounting, legal, insurance or dispute-resolution purposes.
13.2 Each of us will comply with applicable data protection law. Recordings may contain personal data, including names, voices and images of you, your guests and contributors. You are responsible for having the notices, permissions, consents or other lawful bases needed for us to record, process, edit, store and, where applicable, publish that personal data, unless we have expressly agreed in writing to obtain them for you. Our privacy notice is available at [LINK].
14. Ending a booking or plan
14.1 You may end a monthly plan in accordance with section 4. You may cancel or reschedule individual sessions in accordance with section 6.
14.2 We may end or suspend a booking or plan immediately if: you fail to pay an amount when due; you or a guest behaves in an abusive, threatening, discriminatory, unlawful or seriously disruptive manner; we reasonably believe continuing would expose us to significant legal, regulatory or reputational risk; you materially breach these terms and do not put it right within a reasonable time after we notify you; or circumstances make continuing unsafe or impracticable.
14.3 If a multi-session booking or plan ends early: you must pay for all sessions, editing and other services completed up to the end date; we will provide completed deliverables you have paid for, once any outstanding sums are settled; future sessions are cancelled; and any refund of sums paid in advance for services not provided will be calculated by reference to the unused services, less any applicable cancellation charges, discount recalculation under clause 4.7 and costs we have reasonably incurred. We are not obliged to provide unused recordings or services after termination unless agreed in writing.
14.4 Ending a booking does not affect rights or obligations intended to continue, including those relating to intellectual property, confidentiality, liability, indemnity and payment of outstanding sums.
15. Our liability
15.1 Nothing in these terms excludes or limits any liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, for fraud, or (if you are a consumer) your statutory rights.
15.2 Subject to clause 15.1, we are not liable for indirect or consequential loss, loss of profits, loss of business, loss of anticipated savings, loss of opportunity or loss of reputation.
15.3 Subject to clause 15.1, our total liability arising out of or in connection with a booking or plan will not exceed the total fees you have actually paid us for that booking, or for the 12 months of the plan preceding the claim.
15.4 These limits apply whether a claim arises in contract, tort (including negligence), breach of statutory duty or otherwise.
16. General
16.1 These terms, together with your Booking Details and confirmation email, are the entire agreement between us for your booking and replace any earlier discussions about it.
16.2 We may update these terms from time to time. The version in force when you make a booking applies to that booking. For monthly plans, we will give you at least 30 days’ notice of any material change; if you do not accept it you may cancel under clause 4.5 before it takes effect.
16.3 Any change to the scope, price or other material terms of your booking must be agreed in writing (email is sufficient).
16.4 If any part of these terms is found invalid or unenforceable, the rest continues in full force. A delay or failure by either of us to enforce a right is not a waiver of that right.
16.5 These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction over any dispute. If you are a consumer, nothing in this clause affects your right to bring a claim in your local courts.
By ticking “I have read and agree to the Studio Booking Terms & Conditions” at checkout, you accept these terms.
